What is RingCentral Meetings?
Bundled in with your RingCentral phone service, you have RingCentral Meetings. RingCentral Meetings is a Cloud Video Conferencing service. It gives you the power to video conference and web share as part of your complete business communications solution.
Some features include:
- Hold face-to-face meetings in high definition
- Share your desktop or documents with anyone, anytime, anywhere
- Audio dial-in access
- Video gallery can see up to 25 video streams at once
How to Schedule a Meeting
1. Ensure you have the RingCentral for Google extension installed in your Chrome browser
- Log into the extension using your G Suite account
2. Create an event in Google Calendar
3. Click More options to view the full screen editor
4. Click the Add conferencing drop down
5. Click RingCentral Meeting
6. Choose your meeting settings
7. Click Done
8. The Meeting link will be in the location for the Calendar event
9. The Meeting information will be in the Notes section of the Calendar Event
10. Everyone on the calendar invite will see the information and have option to:
- Click the link to join from a PC, Mac, iOS, or Android
- Dial in from an iPhone
- Dial in from a Telephone
11. Click Save to save the Calendar event
How To Join a Meeting
Option 1: From Calendar Event > Click link
Option 2: RingCentral Meetings Application > Click Meetings > Click Join on Meeting
Option 3: From Email > Click link
Notes:
- To join a RingCentral Meeting, either the desktop or mobile application is required
- If someone wants to join without either of the apps, they can use one of the dial in numbers available
- If one does not have the application prior to clicking a link on a desktop, they will be redirected to download the app to join the meeting
- On mobile, users without the app will be redirected to an app store to download the app
Application Navigation
1. Navigate to https://www.ringcentral.com/apps/rc-meetings and download the Meetings app
2. Sign in with Google
3. At bottom, click:
- Video to:
- start a call without video
- start a call with video
- schedule a call
- join a call
- share screen in a call
- Meetings to see:
- any RingCentral meetings you have scheduled (Note: meetings you are invited to will not show here)
- meetings that have been recorded (Recorded tab at top)
- your personal meeting ID (PMI)
4. Click dropdown arrow beside name at top of Video page
5. Click Settings to customize settings
- Click Audio to check headset and speaker settings
- Click Video to check webcam settings
- Click Recording to choose where you want recordings to save to
- Click Accessibility to view keyboard shortcuts
6. Click join with or without audio
- Select to automatically join audio by computer when joining a meeting
- Or, switch to phone call. Meeting ID stays the same.
7. In meeting screen:
- Copy URL to share with others
- Click Join Audio to Leave Computer Audio, Test speaker and microphone, switch to Phone Call
- Click Share to:
- Share any open window
- Share computer sound
- Optimize for full screen video clip
- Click Advanced to:
- Share a Portion of Screen
- Share Computer Sound Only
- Click Invite Others to
- Create an email with the meeting details
- Copy URL
- Copy Invitation
8. Bottom icon bar:
- Mute/Unmute
- Start/End Video
- Invite Others
- Manage Participants
- Mute
- Rename
- Mute All
- Unmute All
- More
- Mute participants on entry
- Allow participants to unmute themselves
- Play enter/exit chime
- Lock meeting
- Share
- Chat - appears to right of meeting window
- Record
- End Meeting
